​Role Summary

The placement holder will form part of an integrated team within the Clinical Education Department to contribute towards facilitating the provision and promotion of a quality service in Clinical Education in the locality, in accordance with All-Wales standards.

The post holder will adhere to the standard operating procedures in place.

Role and responsibilities 

  • Be a point of contact in the Clinical Education Centre for internal and external visitors.
  • Provide cover for front-of-house services by meeting and greeting visitors, liaising with organisers/speakers and attendees to maintain an efficient and professional impression of the University Health Board as well as dealing with customers calmly, politely and tactfully.
  • Will answer telephones, e-mails, dealing with customer queries and difficulties and providing face-to-face advice calmly, politely, tactfully and in a friendly and efficient manner.
  • Ensure that requirements of the visitor are accurately entered into the computerised room booking system.
  • Prepare rooms for meetings, updating notice boards as and when necessary and e-notice boards daily and always with the day’s events, move furniture and equipment to a required layout and replace after meetings, ensuring that all equipment is re-housed and whiteboards are cleaned.
  • Assist with the provision of visual aids using the facilities available in the department i.e. photocopying, demonstrating AV systems and helping users set up AV and computer equipment loading presentations onto the computer etc. and providing registers if required.
  • Assist in taxi bookings for Students and volunteer patients as required.
  • Communicate with all levels of staff including Consultants, Directorate Managers, External Agencies, Nursing staff, HR, Occupational Health, Rota Co-ordinators, Doctors in Training and Medical and Nursing Students.
  • Assist in the provision of advice, direction and support to all visitors of the Clinical Education Department.
  • Ensure refreshments are laid out for teaching/meetings and cleared away afterwards.
  • Ensure that rooms are left in orderly manner for next visitors.
  • Ensure that all equipment is switched off and lock rooms after use.
  • The post holder is expected to adhere to all UHB Policies and Procedures and be responsible for ensuring they keep up to date with all changes to policies and procedure relevant to their role.
  • Assist with clerical duties, commensurate with experience/knowledge, for other Team Members as and when required.
